The Role

We are looking for an Office Administrator who is looking for a new and exciting challenge within a fast-growing biopharma. The role will be fast paced, in a rapidly changing environment, and will require a strong ‘can-do’ attitude in providing administrative support across the organisation and ownership of key areas of responsibilities whilst acting as part of a broader Operational Team.

WHAT WE ARE LOOKING FOR

Key Responsibilities

  • Provide flexible support across the overall administrative needs of the organisation across all functions.
  • Proactive diary management to assist in the scheduling of meetings and interviews (telephone, video conferencing and face to face).
  • Booking and arranging travel, transport and accommodation as required
  • Handling basic bookkeeping tasks, including maintaining finance systems, accounting records, expenses, and day-to-day invoice payments.
  • Prepare and handle meeting resources including booking meeting rooms, arranging visitor access and car parking spaces.
  • Book and arrange travel, transport and accommodation as required.
  • Organise and maintain office systems.
  • Support to maintain and implement required company administrative processes, databases and filing systems.
  • Event planning and co-ordination
  • Provide ad-hoc support to the CEO & C-Suite as required
  • Any other ad-hoc administrative duties as required to support the organisation, Leadership Team, and Operational Team.

Required Experience/Skills

  • Previous experience in a similar role
  • Competent in diary management, working across multiple calendars and time zones
  • Able to handle confidential information appropriately, maintaining strict confidentiality at all times
  • Strong ability in prioritisation and good organisational and time management skills
  • Able and comfortable working under pressure and to tight deadlines
  • Able to communicate at all levels, together with good written and spoken English, with the ability to build strong working relationships
  • Proactivity and good problem-solving skills with awareness when to seek advice and ask for help
  • Ability to react and adapt quickly to changes
  • Strong sense of ownership
  • Attention to detail
  • Advanced IT skills in Microsoft Office
  • Eligibility to work in the UK.

Desired Experience

  • Experience in the pharmaceutical and/or biotech industry
  • Hands-on experience using a MacBook.
  • Experience with Xero and DEXT would be advantageous, however, not essential, training will be provided.
